Identify the premises and affected operation
Explain whether the fault affects a washroom, kitchen, staff area or a space shared with other occupiers. Say what can remain unused and whether water reaches neighbouring premises. A shop below a flat may need access through a different entrance; its opening hours do not identify the source of a leak.
Arrange a decision-maker for the visit
The occupier, managing agent and property owner may have different roles. Confirm who can grant entry, approve assessment and authorise further work. Do not rely on a receptionist or keyholder to approve a repair outside their remit, and do not assume the lease allocates every plumbing component in the same way.
Explain site access before attendance
Provide any induction, security, escort or permitted working-hour requirement. Tell the team about restricted plant areas and planned work that could affect access. Specialist credentials, equipment and the scope of an interruption must be confirmed for the actual task; a general commercial enquiry does not establish them.
Separate reinstatement from immediate intervention
Ask whether the proposed attendance is to limit damage, diagnose the issue or complete a defined repair. Discuss any required return visit, parts and work by another trade. Business interruption, contaminated stock or insurance outcomes are separate questions and should not be promised as part of a general plumbing service.
Keep the handover usable
Provide the exact unit, affected fixtures, observed timing and available earlier findings. Ask which records can be supplied, who will receive them and what remains outside the inspection. A factual handover can support the managing contact’s next decision without claiming to decide lease liability or certify an entire premises.
General information for preparing an enquiry. This guide does not diagnose a property, establish legal responsibility or confirm a booking, specialist capability or attendance time.
Provide a reachable decision-maker before attendance and explain the limits of the keyholder’s role.
Does the enquiry decide lease responsibility?
No. The observed defect and the lease or management arrangements require separate consideration.
Should the first visit include restoration?
Ask explicitly whether the task is immediate intervention, assessment or an agreed repair, and who handles subsequent reinstatement.
